HQ Compass Update 21-Nov-14

Please find below the latest news from HQ regarding the Compass roll-out.

Registration roll out


Last week Group Scout Leaders in England and Wales only were invited to register for Compass in order to help process disclosures checks locally for those volunteers awaiting one. We have had over 2700 Group Scout Leaders register for Compass in the last week and this has made a real impact on the number of disclosures processed and returned, so thank you for all your efforts. We understand it can sometimes take longer than expected to receive a username and password for the online disclosure system and we apologise for any delays incurred.

The remaining Group Scout Leaders and all other member roles who have not yet registered for Compass will be next. We expect this to be within the week but will notify you to confirm when their registration email is due to be sent.


Data in Compass

Work continues to fix as many of the data errors found in Compass as possible. This mainly relates to when a member has been assigned with the wrong location (e.g. associated with the wrong Section/Group etc) or a member’s training record for their current role are not up to date. This is the final piece of work being completed before we open up registration to all members. Please continue to refrain from trying to edit any of this information in Compass yourself until notified, this include training records.


Preparing youth information for Compass

An email briefing was sent to yourself, Section Leaders and also all Group Scout Leaders (including Scotland, Northern Ireland and Overseas areas) on 17 November to provide detailed information on the process for getting youth data ready to upload into Compass. You can read the email here.


We are aware that many Scout Groups are ready with all their youth information prepared in the Youth Data Upload template spreadsheet, but we also know that for some the email on 17 November was the first time they had seen the spreadsheet. We will be sending further communications to this group of roles on Monday (24 November) to try and help clarify the process and make clear the minimum requirements needed for Compass and how easily these can be collated.

Thank you for continuing to support any roles who are preparing their youth data into the spreadsheet and for supporting the importance of this work.

For Online Scout Manager (OSM) users

We want to take this opportunity to remind any Online Scout Manager (OSM) users of the caution to take when copying their youth information from OSM into the Youth Data Upload template spreadsheet. You will find that there are a number of fields in the export from OSM which do not match up to how the data is required to be presented for Compass. Edits may need to be done manually in the Youth Data template spreadsheet once you have copied your OSM information into it to ensure the data matches Compass requirements, as the upload will not accept anything outside the required format.

The Week Ahead

On Monday additional support around preparing youth information for uploading into Compass will be circulated to you, Section Leaders and Group Scout Leaders in Northern Ireland, Scotland and Overseas areas.

On Tuesday we will be in touch with you again to confirm how the final data quality fixes have gone and update you on the plans for inviting all other members to register. We intend this will be Wednesday next week but will not be able to confirm until Tuesday.
